WE FIX THE PROBLEM WITHOUT
LOSING CONTROL OF THE OPERATION
Aeterna works through clearly scoped, hands-on engagements.
The objective is not to produce an indefinite consulting programme. It is to correct a concrete operational problem, test the solution and leave the business with a process that works and can be maintained.
01 — START WITH WHAT IS NOT WORKING
You do not need a technical specification or a preferred software product.
Start with the operational symptom:
- invoices are rejected;
- records cannot be trusted;
- employees copy information between systems;
- stock or prices do not synchronize;
- software is being worked around;
- recurring reports require manual reconstruction;
- a stable task should be automated;
- employees are already using AI without a controlled working model.
Aeterna reviews only the systems, records and employees necessary to understand the cause and define a practical scope.
02 — DEFINE THE WORKING RESULT
Before work begins, the engagement defines:
- the operational problem;
- the systems and data included;
- the correction to be attempted;
- the expected working result;
- the people and providers required;
- the test scenarios;
- what remains outside scope.
New problems do not silently become part of the project.
03 — APPLY THE CORRECTION
Depending on the problem, Aeterna may:
- clean and restructure data;
- correct mappings and identifiers;
- configure existing software;
- simplify workflow steps;
- connect existing applications;
- implement bounded automation;
- prepare and test an import;
- create visible exception handling;
- improve employee use of the system;
- implement a practical AI-assisted workflow.
Where specialist infrastructure, cybersecurity, accounting, legal, tax or extensive custom development is required, that work remains with the appropriate provider.
04 — TEST WITH REAL BUSINESS SCENARIOS
A change is not complete because the software accepts it.
It is tested using representative cases such as:
- a new customer or supplier;
- a rejected invoice;
- a duplicate record;
- a price or stock update;
- a cancelled order;
- a user with restricted access;
- a missing mandatory value;
- a failed synchronization;
- an AI response using conflicting sources.
Unexpected results are corrected, escalated or left visible for a qualified business decision.
05 — STABILIZE THE PROCESS
Before handover, Aeterna confirms:
- who maintains the relevant data;
- who reviews exceptions;
- which provider supports the technical component;
- how future changes should be tested;
- what minimum instructions are required;
- which unresolved issues remain visible.
Documentation is limited to what is necessary to operate, validate and maintain the solution.
06 — CONTINUE OPTIMIZING WHEN NEEDED
Ongoing support can include:
- reviewing recurring exceptions;
- correcting new data-quality issues;
- refining workflow rules;
- maintaining small automations;
- coordinating system changes;
- improving employee use;
- implementing additional AI-assisted tasks;
- testing whether the process remains reliable.
Ongoing support is scoped separately.
WORKING WITH EXISTING PROVIDERS
Aeterna can work alongside:
- IT providers;
- software vendors;
- ERP and CRM implementers;
- accountants;
- webshops and digital agencies;
- cloud and security specialists.
Aeterna handles the operational layer: what must work, which information is required, how the process should behave and whether the final result works in practice.
WHEN AETERNA IS NOT THE RIGHT FIT
Aeterna is not the right provider when:
- the requirement is extensive custom-software development;
- the main requirement is legal, tax, accounting or cybersecurity advice;
- no one can confirm the business rules;
- representative examples cannot be reviewed;
- the company expects automation to replace undefined decisions;
- critical access, backups or testing cannot be provided.
START WITH THE CURRENT PROBLEM
Describe what is failing, what employees are correcting manually and which systems are involved.
[DISCUSS AN OPERATIONAL PROBLEM →]appropriate next step is an operational audit, a focused engagement or coordination with an existing provider.
